Executive Committee Meeting January 5, 2022

Meeting

Wed Jan 05 2022 Minutes of the Executive Committee by Charlene Bohl

The meeting, held via Zoom, was called to order at 7 pm by President Dana Lawrence.

Present: John Buddington, Steve Bailey, Heather Bailey, Ken Hertz, Andrew Nuquist, Kevin Ryan, Dana Lawrence, Michele Cota and Charlene Bohl.

Minutes of the previous meeting were approved, with changes. Ken will make the changes on the website.

Trails and Shelters. Morgan Irons, Interim Trails and Shelters Coordinator, stated that the Bamforth work hike will be Saturday May 14, and the Barnes Camp Work Hike will be May 21,

Morgan stated that she is working to find a permanent Trails and Shelters Coordinator but has not found one yet. She will continue as the Interim Trails and Shelters coordinator until someone else is found.

There was a discussion of the need to purchase more equipment, including longer, lighter hazel hoes to be used by individuals on work hikes/ Steve has the link for the purchases and will send it to Morgan.

Status of the Current Executive Committee Members. While Morgan needs to be replaced as Trails and Shelters Coordinator, none of the other current officers have not reached their three year term limit, and may continue for another term. There was discussion of creating a Nominating Committee. Last years Nominating Committee was Morgan Irons, Phyllis Rubenstein and Cynthia Martin. John Buddington suggested the need for new blood. Dana will create a Nominating Committee.

Annual Meeting. An in-person annual meeting has not been held for the last two years because of covid-19. The bylaws provide that the meeting shall be held in April or May. Ken suggested that it be held outdoors on Sunday May 22, 2022. The Old Shelter at Hubbard Park was discussed as a possible location, with a walk on the new Hubbard Park Expansion Trail. Andrew suggested that the walk be before the meeting with individuals bringing their own snacks. No decision was made as to whether there would be food. The vice-president will determine the location and set up the meeting.

Outings. A general discussion was held concerning publicity for outings. In the past, Trail Talk was the primary vehicle for publicity, but the requirement of three months’ notice is cumbersome. Recently, publicity on Front Porch Forum has been successful.

Another option is Google Meet-Up. Steve has used this in the past and would like to use it for GMC Montpelier Section outings. Meet-up requires a nominal fee of $30. It has to be set up and each outing listed separately. Each listing must have a link to Google Maps for the meeting location and the event time and date. It also requires that someone check back after the listing is posted to answer any questions

Another option is posting the event on the Section Facebook page, Greenmountainclub Montpelier, which currently is “liked” by 188 individuals.

Kevin Ryan also sends out an email to members two weeks prior to the outing.

Outings are also listed on the Main Club calendar.

Steve will research Meet-Up and Facebook and present the procedures, drawbacks and plusses at the next EC meeting.

Next Executive Committee Meeting. The next EC meeting will be April 20, 2022. Steve will host the meeting as Dana will be unavailable.

Treasurers Report. The report was approved.

Membership Committee. No report.

Main Club. The Main Club is doing well. June 11, 2022, is the date of the Annual Meeting.

Presidents Report. Zoom meetings will continue.

Trail Talk. The next deadline is January 15 foe events for March, April and May. Events for January and February are listed on the website.

The meeting adjourned at 8:20 pm.
